ServicePath 360 ("we," "us," or "our") is committed to protecting the privacy of the schools, administrators, parents, and students who use our platform. This Privacy Policy explains what information we collect, how we use it, and the rights you have regarding your data.

1. Who We Are

ServicePath 360 is a volunteer hour tracking platform for K-12 schools, operated from the State of Florida. Our platform allows school administrators to manage, verify, and report student and parent community service hours.

2. Information We Collect

We collect information in the following ways:

Information provided directly

  • Account registration details (name, email address, role)
  • School or organization name
  • Volunteer hour submissions (dates, activity descriptions, supervisor names)
  • Communications sent to us via the contact or RFI form

Information collected automatically

  • Browser type, device type, and operating system
  • IP address and general geographic region
  • Pages visited and features used within the platform
  • Date and time of access

We do not sell personal information and we do not use third-party advertising trackers on our platform.

3. How We Use Your Information

  • To operate and maintain the ServicePath 360 platform
  • To process and display volunteer hour records
  • To send account-related notifications (approvals, reminders, account alerts)
  • To respond to support requests and RFI inquiries
  • To improve platform performance and user experience
  • To comply with applicable legal obligations

We will not use student data for advertising, marketing profiling, or any purpose not directly related to providing the educational service.

4. FERPA Compliance

ServicePath 360 may receive or process student education records on behalf of schools that are subject to the Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. § 1232g. In such cases:

  • The school acts as the data controller and ServicePath 360 acts as a school official or service provider under FERPA.
  • We access student records only to the extent necessary to perform services on behalf of the school.
  • We do not disclose student education records to third parties except as directed by the school or as required by law.
  • Schools retain ownership of all student data submitted through the platform.
  • Upon termination of a school's account, student records will be deleted or returned as described in the service agreement.

Schools are responsible for obtaining any necessary consents from parents or eligible students under FERPA before submitting student data to ServicePath 360.

5. Data Sharing

We do not sell or rent personal information. We may share information only in the following limited circumstances:

  • Service providers: Third-party vendors who assist us in operating the platform (e.g., hosting, email delivery) under confidentiality obligations.
  • Within your school: Information submitted by parents or students is visible to authorized school administrators.
  • Legal compliance: When required by law, court order, or to protect the rights and safety of our users.
  • Business transfer: In the event of a merger or acquisition, with notice provided to affected users.

6. Data Retention

We retain account and volunteer hour data for as long as a school's account remains active. Schools may request deletion of their data at any time by contacting us. Upon account termination, data is deleted within 90 days unless a longer retention period is required by law or agreed upon in writing.

7. Security

We use industry-standard security practices including encrypted data transmission (TLS), access controls, and regular security reviews. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. We will notify affected users and schools promptly in the event of a data breach as required by applicable law.

8. Your Rights

Depending on your role and applicable law, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate data
  • Request deletion of your account and associated data
  • Withdraw consent where processing is based on consent

Parents and eligible students seeking to exercise FERPA rights (access, correction, or deletion of student education records) should contact their school administrator directly, as the school controls those records.

9. Cookies

We use essential cookies required for the platform to function (e.g., session authentication). We do not use cookies for cross-site advertising or behavioral tracking. You may disable cookies in your browser settings, though this may affect platform functionality.

10. Children's Privacy

ServicePath 360 is designed for use by high school students (generally ages 14 and older) under the supervision of their school. We do not knowingly collect personal information from children under 13 without verified parental consent. If you believe a child under 13 has submitted information without proper consent, please contact us and we will promptly delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised policy on this page with an updated effective date. Schools will be notified of material changes by email. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
